Program Assistant IFC - International Finance Corporation - Hongkong


The East Asia region (EAP) is seeking an HR Program Assistant (HRPA) to provide high quality client service and administrative support. The HRPA will act as a contact point for the team and handle queries or requests, researching solutions and independently sharing the relevant information with parties concerned while working closely with HRAMs. S/he will also provide assistance to carry out the Region’s program objectives.
Client Interface:
- stays abreast of HR rules, policies and procedures in order to provide administrative support to clients across the region;
- handles HR inquiries ranging from basic to more complex issues; channels them to appropriate resources if necessary; follows up as necessary, plays substantive role in finding information and providing assistance to clients.
PeopleSoft: HR Process Management
- Assists HR Account Managers in the region with PeopleSoft processes related to HR actions;
HR Process Management
- Assists HRAMs with processes related to implementation of key HR programs such as performance evaluation review (PEP) and salary review (SRI), Awards and Talent Management;
- Issues letters and memos for staff as required;
- Retrieves standard reports from HR Query; HR Dashboard; SBD; PEP systems, customizing and analyzing as needed to meet team and client needs under the supervision of the HRAMs;
- Manages electronic filing of key records, information and documentation;
Vacancy Management.
Assists the HR Account Managers with recruitment process including:
- posting of vacancies in Job World and IFC external recruitment website;
- interviewing, gathering of interview reports, job descriptions, medical and security clearances, reference checks;
- preparation of appointment packages, onboarding packages, offer letters, etc;
Unit Administration:
- ordering supplies and making travel arrangements;
- provides back-up support to other ACS staff during absences or peak periods;
Undertakes any other tasks assigned by the Head of HR to serve HR / business needs in the Asia Pacific Region and across IFC.

Desired Skills & Experience

- Familiarity with World Bank procedures and processes and a willingness to learn more and keep abreast of new administrative initiatives; 
- Excellent interpersonal skills and high level of discretion in dealing with confidential information;
- Effective time management and organizational skills;
- High level of proficiency in office technology including Word, Excel, Powerpoint and Lotus Notes, familiarity with Peoplesoft.
- Ability to draft routine correspondence and edit materials;
- Proficient in both written and oral English language skills;
- High degree of initiative, reliability and resourcefulness;
- Handles highly sensitive information in absolutely confidential manner.
- Ability to handle and adjust to a variety of concurrent activities, judge priorities and organize work effectively under minimum supervision.
