Role Overview

 
The EBRD’s Office of the General Counsel is at the core of EBRD’s challenging mandate to support the transition process in the 29 emerging markets of central and eastern Europe, including the Russian Federation and central Asia, including Mongolia.  It handles all legal aspects of the EBRD’s lending and investment transactions, all legal aspects of the EBRD’s finance operations, including its borrowings in the international capital markets, liquid asset investments and derivative transactions, provides legal advice for institutional and administrative matters, and implements a legal technical assistance programme to support the legal transition process in the region.
In addition the EBRD has been asked by its shareholders to extend its activities to the countries of the Southern and Eastern Mediterranean (in particular Egypt, Jordan, Morocco and Tunisia) following the ‘Arab Spring’.

Key Responsibilities and Deliverables

-Managing diaries, arranging internal and external meetings and conference calls.
 

- Receiving visitors
- Drafting business correspondence for managers’ signature and composing own correspondence where necessary
- Liaising with outside counsel regarding direct selection, hours, rates and teams.
- Where competitive selection is required, liaising with outside counsel regarding the receipt of tenders, arranging competitive selection meetings with the bankers and administering the invoicing process.
- Prepare documentation for attendance at Operations Committee, Executive Committee and Board meetings.
- Preparing internal and external presentations using PowerPoint
- Ensuring quality management and control; proof-reading and checking documents as and when required
- Making hotel/travel arrangements, itineraries and arranging visas as required
- Handling expense claims relating to travel, hospitality, following up on reimbursement and monitoring corporate card bills
- Screening telephone calls; responding to and dealing independently with external queries; passing on calls to other members of the department as appropriate
- In the absence of the managers ensuring efficient control of email, screening/prioritising messages and replying on behalf of the managers to routine enquiries or forward to appropriate member or members of the team to respond/act upon
- Maintaining comprehensivehard copy and online filing to ensure instant retrieval of documents
- Ad-hoc secretarial/administrative duties as and when required.

Essential Skills, Experience & Qualifications

 
At least four years secretarial and administrative experience, including at least one year’s experience in the Bank (for internal candidates)

- Fluent English, both written and spoken 55 wpm typing
- Computer literate: Windows XP: Microsoft Outlook, Word, Excel, PowerPoint
- Good organisational skills and ability to work on own initiative
- Good communications skills, including pleasant and efficient telephone manner
- Attention to detail and eye for accuracy   
 
- Knowledge of SAP useful but not essential
- Good knowledge of the Department’s procedures and EBRD Applications would be useful.
