Brief description: DFID Montserrat (DFIDM), which is based in Governor’s Office at Brades, wishes to appoint a Programme Assistant on a permanent basis to support the DFIDM team.

Currently the on island team comprises of DFID Representative/Private Sector (Dr Kato Kimbugwe), Infrastructure Adviser (Colin Gourley) and DFID Programme Officer, (Sascha Chennell). In addition to this DFIDM are seeking to appoint a Programme Assistant for support with IT systems, administration and accounts. The on island team reports to and is advised by DFID’s Overseas Territories Department based in the UK.

Job Description

The post holder will play an integral role supporting the team particularly through trouble shooting IT issues, administering the accounts and liaising with suppliers. The post holder will liaise with DFID UK to set up meetings and programmes for UK based Advisers when they are undertaking missions on island. The post holder will make travel arrangements, set up meeting programmes and make bookings with local accommodation providers. The Programme Assistant will engage on a daily basis with Government of Montserrat (GoM), DFID UK, and other Non Government Organisations (NGO).

Main Duties

  1. Complete administration for the preparation of the Imprest Accounts.
  2. Set up and maintain the video conferencing equipment.
  3. Contact local suppliers to book accommodation for UK based Advisers.
  4. Set up meeting programmes for Advisers in consultation with GoM.
  5. Liaise with local suppliers to ensure office equipment is replenished.
  6. Contact suppliers to maintain and service DFIDM vehicles.
  7. Complete tax and insurance returns for DFIDM vehicles.
  8. Undertake on line bookings for air travel for UK based Advisers.
  9. Provide 1st line support for IT requests to the DFID Montserrat office by liaising with the BSD Service desk.
  10. Responsible for basic computer housekeeping tasks with DFID Montserrat, including tracking of loaned equipment.

Skills/Competencies

  1. Confident verbal communication skills.
  2. Good knowledge of windows operating systems, especially Microsoft applications including, Microsoft Exchange and the use of Microsoft office tools like Microsoft PowerPoint, Word & Excel, power-point, Visio, projects.
  3. Experience of installing IT hardware and software.
  4. Good organisational skills.
  5. Excellent time management.
  6. Good numeracy and written skills.

Education and experience

It will be a requirement to have 4 CXC for this position. Maths and English are mandatory.
The post holder must demonstrate an interest and willingness to learn and train in areas of IT and Accounts.
A full and clean driving licence is required for the position.
A valid passport will be needed as training maybe facilitated overseas.
