Department

The BBC's Future Media Division is responsible for the operation the BBC's online services and works in partnership with colleagues from across the organisation to develop the BBC. The Controller, BBC R&D manages a portfolio of activity within the BBC's Future media division including BBC R&D, the Online Technology Group, the Interactive Technology and Contracts Unit (ITACU), a number of related board positions in subsidiaries or BBC joint ventures and various strategy initiatives.

Role

AIMS OF THE JOB

The role is to work in partnership with the Controller and other members of the relevant management teams to support effective delivery across the portfolio.

KEY RESPONSIBILITIES

• Build a thorough knowledge of the portfolio, the team and the Controller, Research and Development’s role and establish good working relationships with internal and external contacts. Act as the 'front of house' and key point of co-ordination within the portfolio teams, with the rest of the BBC and with outside organisations
• To exercise initiative in responding to day-to-day queries reaching the office, managing the flow of activities across the portfolio and delivering some delegated tasks independently.
• To be responsible for, or contribute to, ad hoc projects, research and activities as appropriate.
• To provide efficient secretarial, diary management, office management and administrative support to the Controller, Research & Development and his teams as required, for example:
• Maintaining the Controller, Research and Development’s busy diary, including responsibility for obtaining itineraries and pre-meeting paperwork on a daily basis
• Planning and organise meetings both internally and externally as required, sometimes for other senior members
• Ensure all relevant paperwork is available for meetings/conferences ahead of time; help prepare agendas and supporting paperwork and presentations as necessary
• To plan national and international travel arrangements and book accommodation, travel in accordance with BBC guidelines. Use BBC booking systems effectively and manage the submission of expenses.
• To schedule workloads effectively to be able to prioritise secretarial and administrative support for the Controller, Research and Development and the teams within the portfolio
• To develop and maintain office and administrative systems as required

Requirements

KNOWLEDGE, EXPERIENCE, COMPETENCIES

1. First class secretarial and administrative skills showing a systematic approach to administration and associated paper work, paying attention to detail and accuracy, whilst maintaining an overview of the wider picture.
2. Proven experience of managing complex diaries.
3. Excellent interpersonal skills with good verbal and written communication. Ability to communicate with senior staff in a professional and timely manner, and deal tactfully and diplomatically with contacts both within and outside the BBC.
4. Experience of handling highly confidential information with tact and discretion.
5. Experience of working under pressure to tight deadlines and managing a high workload with conflicting priorities. Ability to follow tasks through to completion with drive and tenacity.
6. Advanced MS Office and Outlook skills including Word and Excel in particular
7. Experience of working as a trusted team member as well as being able to work on own initiative.
8. Good understanding of the organisational and management structures within the BBC.
9. Awareness of the issues affecting the BBC’s future.
