Head, Marketing Event Management Unit

The Marketing Event Management Unit (MEM) is part of the Revenue Generating Activities Section (RGA) and is responsible for the efficient planning, organisation and implementation of marketing events as well as training initiatives and services. The unit is equally responsible for recommending, developing and executing advertising and promotional campaigns. Furthermore, the unit participates actively in the development of new products and services and recommends new business opportunities.

The position reports directly to the Chief, Revenue Generating Activities Section (RGA) with whom s/he consults on complex technical issues. Furthermore, the incumbent, as Head of the MEM Unit supervises General Service staff members. The supervisory level includes technical supervision, coaching and training if necessary, as well as performance evaluation, delegation and distribution of tasks and decision on priorities. The incumbent also has to coordinate the work of additional temporary staff needed for the proper management of events.

Major duties and Responsibilities

Function 1 (incl. Expected results)

Leads, supervises and manages the work and staff of the Marketing Event Management Unit, achieving results such as:

  • Efficient supervision of the staff of the Unit in terms of delegation of assignments, performance appraisals and facilitation of administrative processes and procedures.
  • Direct, plan and organise assigned resources to provide timely and effective service delivery
  • Development and implementation of Operational Plans for the Unit
  • Preparation of budget estimates and proposals for the work of the Unit
  • Ensure to meet set revenue targets and forecasts
  • Train, coach and support staff in areas related to event management, sales promotion and advertising initiatives
  • Share technical expertise and knowledge to promote consistency and foster collaboration and teamwork.
  • Monitor overall quality of the work of the unit to ensure timely, thorough and efficient management of events and promotional campaigns.
  • Accurate and timely preparation of periodic reports and statistical data and analysis on the work of the Unit for management

Function 2 (incl. Expected results)

Coordinates the efficient planning, organisation and implementation of marketing events, achieving results such as:

  • Development of specific events and other revenue generating activities based on market trends, regional and local economic conditions.
  • Conduct pre-event analysis and propose guidelines and procedures for regular feedbacks and alignment of all events and revenue generating activities.
  • Development, management and implementation of promotional event plans to attract relevant target groups
  • Preparation of event budget and financial projections and efficient allocation of required resources
  • Ensure the smooth running of all vendor activities during the event and assist the Chief of the Section to act as moderator at the vendors’ presentation to delegates
  • Development of event support material as well as promotional material for events and establishment of the floor plan
  • Organize and manage all logistics surrounding events, this includes proper planning prior to the event and coordination of the smooth running of the exhibition and its linked services
  • Conduct research to identify potential sponsors and exhibitors and initiate promotional efforts to attract attendees, sponsors and exhibitors
  • Active participation in the activities during the event through direct sales and promotional campaigns
  • Liaison with exhibiting organisations and identification of media partners to enhance onsite visibility and marketing packages
  • Compilation and analysis of participants’ feedback and make recommendations for improvement

Function 3 (incl. Expected results)

Coordinates the efficient planning, organisation and implementation of training initiatives, achieving results such as:

  • In collaboration with the technical entities, development and management of innovative training modules and components of training programmes to meet market needs
  • Establishment of a marketing and solicitation plan for Training events and initiatives
  • Arrange and coordinate all logistics surrounding training courses, this includes proper planning prior to the event and coordination of the smooth running of the training event
  • Act as a liaison between the technical entities and the licensing partners and assist management in protecting licensing agreements
  • Enhancement of training website functionalities by soliciting currently listed schools and new prospects for subscription

Function 4 (incl. Expected results)

Makes recommendations for innovative business opportunities, new products and services, achieving results such as:

  • Preparation of forecast of revenue generating activities and their impact
  • Development of new products by conducting market development assessments and by working closely with ICAO’s technical entities to identify products with commercial value
  • for each event on direct marketing activities, advertising and materials produced and make recommendations for future improvement
  • Recommendation of positioning of ICAO products and services in order to maximise revenue potential
  • Make recommendations for innovative business opportunities and potential revenue streams within existing and potential customers
  • Evaluation of the effectiveness of marketing activities and preparation of reports on successful/unsuccessful marketing initiatives in terms of impact. This includes measurement and reporting of best practice examples and key lessons learnt.
  • Regular evaluation of performance against forecast and take corrective action
  • Development of sales plan for different website sales, such as the MRTD community website, WASA-online and others
  • Oversee the continuous update and smooth running of the on-line statistics platform on sales and provide customer support on platform utilization
  • Oversee the regular updating of the eCommerce web site and other customer communication devices in order to ensure attractiveness and efficient usage thereof

Function 5 (incl. Expected results)

Recommends, develops and executes advertising and promotional campaigns, including proper follow-up and impact analysis, achieving results such as:

  • In collaboration with the technical entities, development and implementation of marketing and advertising media plans for ICAO events, websites, products and services with a view to increase the participation at all levels to meet revenue generating objectives
  • Improve visibility and outreach of ICAO products and services through publications newsletter and other promotional material
  • Identification of potential advertising agencies, publishers and other marketing-related service providers, manages the bidding process and participates in the evaluation and selection process
  • Liaison with advertising agencies and internal entities, as well as definition of marketing content of all promotional material. Oversee the proper implementation of these campaigns, ensuring the smooth cooperation between all parties involved.
  • Negotiation of barter and paid advertisement agreements, of exhibitor and event organizer contracts, of licensing and of royalty agreements.
  • Definition of advertising campaigns in collaboration with the advertising agency, including preparation of marketing content of all promotional material, ensuring appropriate positioning of ICAO activities
  • Monitor and review the work of the advertising agency and make recommendations for changes when necessary

Qualifications and Experience

Educational background

First level university degree in business administration, preferably with specialisation or additional degrees in marketing, management, economics or related field.

Professional experience and knowledge

  • Substantial experience (preferably 5 years) in the Management of Marketing Activities, Sales Publications, Resource Mobilisation, and/or Consumer Product Development
  • Work experience in the private sector combined with experience in the public sector and/or large international organizations in any of the above areas is highly desirable.
  • Knowledge and experience in organising advertising campaigns, marketing events and designing promotional material
  • Experience in organization and management of promotional and marketing events
  • Experience in developing and managing project budgets and meeting set targets
  • Proficient in MS Office Products
  • Experience with modern, web-based eCommerce sales solutions and with computerized inventory and invoicing sales systems.
  • Experience in data analysis techniques using Windows based software analytical tools
  • Experience in business planning, including the negotiation and management of commercial contracts.
  • Experience in financial standards, such as IPSAS is an added value. Comprehensive project management skills

Language Skills

Fluency in English and working knowledge of a second language of the Organization (Arabic, Chinese, English, French, Russian, Spanish), preferably French.

Conditions of Employment

It should be noted that this post is to be filled on a fixed-term basis for an initial period of one year.
