The Organisation
QGC is a leading Australian coal seam gas explorer and producer focused on supplying cleaner hydrocarbon energy to growing domestic and international markets.

We are establishing Queensland Curtis LNG, a world-first project to turn reserves of natural coal seam gas in the Surat and Bowen basins in Queensland into liquefied natural gas (LNG) – a carbon efficient fuel.

QGC, which is wholly owned by the British energy company BG Group, employs more than 4,300 staff and contractors. 
Position Summary
To provide administrative assistance to the Gladstone Social Performance team. The position carries responsibility for a broad range of activities and requires the ability to multi-task, exercise judgment, initiative, discretion and independence.

The position is the first contact point for stakeholders contacting QGC and is accountable for providing a positive first impression of the company, professional response to enquiries and effective referral of requests to appropriate QGC representatives.

The incumbent will provide appropriate and timely administration duties in the day to day running of the department, as well as contribute effectively to the wider Social Performance team.
Key Accountabilities
Position Specific
Responsible for day to day support to the Social Performance team, including:• Administration support, typing, filing, record management, taking minutes of meetings, email, faxing, scanning, mailing, photocopying, binding, laminating
• Effective diary management including prioritising and organising meetings with internal and external stakeholders and receiving RSVP’s
• Finance support, facilitate the SAP requisition, goods receipting and vendor set-up process
• Coordinate document management, including team electronic data files use of Unifier
• Coordinate domestic travel, accommodation and itinerary arrangements
• Assist with requirements for events and visits including venue bookings, transport, catering, resources

Executive support to the Social Performance Field Manager:• Effective email management including prioritising and organising referral of internal and external stakeholder action requests
• Carry out confidential administrative tasks

Office management: • Maintain professional appearance of community shop front
• Maintain office supplies, order and restock resources, kitchen dry stores and stationary
• Ensure processes and equipment are in full working order for smooth running of office including management of maintenance requests, IT services, cleaning services
• Receive and distribute incoming mail and deliveries
• Coordinate meeting room bookings and set up of meeting rooms, video conference dial in, catering, agenda and other resource requirements
• Facilitate continuous staffing of Gladstone office for consistency including booking back fill or temporary staff for absences and maintaining the Gladstone Office manual

Provide professional first impression of QGC as first contact point for stakeholders:• Assist stakeholders – visiting QGC shop front, calling office or 1800 freecall (QGC Community Hotline) or emailing QGC, provide information, answers to frequently asked questions (routine enquiries) and refer enquiries and grievances as required
• Provide visitor sign in process and administer security passes

Maintain proficient use of Consultation Manager – QGC’s stakeholder database:• Record all contacts with stakeholders
• Monitor actions and manage timely responses
• Provide weekly reporting on stakeholder interactions

Monitor community perceptions:• Media monitoring, collect newspapers daily and identify articles of relevance, scan, save and distribute
• Regularly research content of identified websites to monitor community sentiments on key topics
• Provide research assistance as required

Additional Tasks & Projects as required. 
People Management• The incumbent must adhere to the annual HR cycle and meet deadlines within the appropriate timeframes

Unique Knowledge, Skills, Experience and Attribute
Experience• Experience in community relations or customer service in a professional environment
• Preferred experience within a similar environment / industry i.e. general administrative experience in energy industry or equivalent environments 
 
Knowledge, Languages, Skills and Attributes• Certificate III in Business Administration or equivalent experience is desirable
• Excellent time management skills with ability to work under strict deadlines and prioritise work effectively
• Intermediate/advanced computer literacy in MS Office packages
• SAP experience is desirable or demonstrated aptitude to develop new accounting software skills
• Ability to communicate with people at different levels including staff, Vice President, Presidents, General Managers, Contractors, Joint Venture parties, vendors and external stakeholders
• Strong accounting/analytical skills
• Self motivated and demonstrates a high level of initiative in dealing with non-routine issues
• Dedication to professional service delivery and maturity in dealing with sensitive or confidential information 
Special Features
• Ability to undertake domestic travel
• Availability after hours and weekends for assistance with QGC participation at events (occasional)
