Job Description
Provide essential administrative support for the MalariaCare team
  • Troubleshoot administrative and logistical issues for the team, in country staff and partners.
  • Prepare presentations and provide editing support  for team members as needed
  • Coordinate logistics for meetings, calls, workshops and conferences and attend conferences when needed.
  • Prepare and circulate agenda for team meetings
  • Send reminders for key deadlines.
  • Assist Project Director with administrative tasks as requested.
Take the lead in coordinating administrative needs related to travelers, consultants, and partners
  • Process all necessary information for travel clearance and consultant approval requests to USAID.
  • Manage travel and meeting logistics.
  • Work with PADM to develop tracking system for all requests to AID.
  • Send reminders for over pending requests
Collect deliverables, maintain project files, and ensure all products comply with USAID branding and marking requirements.
  • Collect deliverables for reports to USAID (including semi-annual, and annual report.)
  • Support team leaders in finalizing deliverables.
  • Assist with work planning process as needed.
  • Track and organize project deliverable and trip reports.
  • Keep MalariaCare shared drive files organized and backed up.
  • Ensure all deliverables are compliant with USAID branding and marking requirements.
  • Work with PATH MalariaCare staff and partners to create an efficient review process designed to facilitate compliance with USAID branding and marking requirements.
  • Ensure all submissions to USAID are properly branded.
Required Skills
  • Demonstrated ability to execute administrative tasks with excellent attention to detail.
  • Proven effectiveness in supporting senior management and interacting with staff.
  • Proficiency in MS Outlook, Word, and PowerPoint required.  Proficiency in SharePoint and Excel, and other contacts database desirable.
  • Ability to prioritize, multi-task, and complete work in a timely manner.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly organized and adaptable to changing priorities.
  • Proven success working well under deadlines.
  • USAID experience desirable but not required.
  • Effective and flexible working in a team with minimal supervision.
Required Experience
Associate’s degree plus two years of relevant administrative experience in a professional office environment including managing multiple schedules through Outlook; and supporting senior level management staff; or an equivalent combination of education and experience. Bachelor’s degree and career interest in global health/international development.
