Payroll Specialist

The Need

Essential to the success of any organization is a strong payroll reporting function.  In this accounting role, you will support the work of justice by ensuring the timely and accurate calculation of pay and retirement plan benefits to all US-based employees, as well as accurate reporting and entry of payroll expense allocation into the financial system.
This position is based in the Finance Department at IJM Headquarters in the Washington, DC area and reports to the Senior Manager, Accounting and International Payroll.

Responsibilities

Payroll Management

  • Review and carry out all payroll changes for employees on a semi-monthly basis;
  • Respond to employee inquiries regarding pay;
  • Prepare annual compensation summaries for third country national employees;
  • Recommend process improvements and update current procedures in conjunction with the upcoming rollout of a new Enterprise Resource Planning system;
  • Coordinate efforts between HR and Finance to provide technical expertise and ensure accuracy and proper flow and maintenance of employee data; and
  • Maintain Sharepoint database related to maintenance of payroll and tax documentation.

Accuracy in Payroll Reporting

  • Maintain payroll job costing reports and enter payroll allocation into Financial Edge accounting system;
  • Perform all general ledger entries related to payroll, including tax equalization and 403b accruals; and
  • Assist in audit preparation related to the payroll function.

Accuracy in Time Reporting

  • Oversee maintenance of the Replicon web-timesheet system, including making necessary updates and improvements to the journal entry export report; and
  • Provide timesheet training and guidance for all employees paid from HQ.

Retirement Plan Reporting and Financial Management

  • Calculate and disburse semi-monthly 403b retirement plan employee withholdings and employer contributions in accordance with plan document;
  • Assist with the completion of year-end compliance testwork and annual form 5500 filing;
  • Prepare payment request forms for payroll-related vendors;
  • Assist with preparation of 403b plan board governance documentation; and
  • Assist with the annual 403b plan audit.

Required Skills and Experience

  • Bachelor’s degree in Accounting, or Business Administration or Finance with a focus on Accounting; Certified Payroll Professional desired;
  • At least three years payroll processing experience, with experience using Paychex or ADP preferred;
  • Technical expertise in payroll concepts and regulations;
  • Knowledge of debits and credits and accrual based accounting;
  • Highly proficient in Microsoft Office, specifically in Excel; and
  • Experience using electronic general ledger software systems; Blackbaud’s Financial Edge a plus.
