Job DescriptionWe are looking to recruit a highly motivated Administrative Officer for the Director's Office of EMBL-EBI, located on the Wellcome Trust Genome Campus near Cambridge in the UK. The EBI, part of the European Molecular Biology Laboratory (EMBL), is a world-leading bioinformatics research and service centre. Biological information is of vital significance to life sciences and biomedical research, which in turn are critical for tackling the challenges of healthcare for an ageing population, food security, energy diversification and environmental protection.
As Administrative Officer you will handle the organisation of high level meetings involving complex logistical components and timings. You will take formal minutes of Board meetings and implement follow up of all actions. You will also attend and minute project meetings and teleconferences and manage the workflows for the project. You will report to Associate Director, Ewan Birney.
The main duties and responsibilities are:
- Organisation of Board meetings and high level administrative support and follow up to those meetings.
- Taking notes/summaries from teleconference and project meetings
- Managing workflows for the project
- Drafting short organisational documents
- Undertaking any other duties required by the Directors which are consistent with the grading of this post.

Qualifications and ExperienceEssential qualifications and experience:
- Proven track record of relevant executive level administrative experience in a large, complex organisation
- Experience managing systems for tracking workflow and follow up actions
- High level of literacy
- Proven ability to manage confidential matters with diplomacy, tact and discretion
- Ability to prioritise, organise and work independently with a minimum of supervision
- Ability to draft documentation
- Excellent written and verbal communication skills and fluency in English
- High level of computer literacy, specifically with Windows and Microsoft Office and excellent word processing skills.
Desirable qualifications and experience:
- Prior experience of working in a scientific environment
