The Bertelsmann Stiftung is one of the largest operative foundations in Europe, a non-profit organisation committed to building a sustainable society in the tradition of its founder, Reinhard Mohn. The Foundation’s programme work is aimed at improving the individual’s opportunities for democratic, social and economic participation in our globalised world. 

As part of our internationalisation strategy, the Brussels office has the task of positioning the Foundation as a European think-tank. To do this, the office organises, first, the transfer of content, ideas and products from the Foundation's work to the EU institutions and into the Member States. Second, our team in Brussels promotes the development and expansion of collaborations and partnerships, all over Europe, between the Foundation and leading think tanks and non-profit organisations. And third, the office provides regular updates to the Foundation's headquarters in Germany on the latest European developments that are particularly relevant for the Foundation’s programme work. In the current phase of work from 2013 to 2016, the Brussels office will work particularly closely with the Foundation’s programmes that focus on social market economy, sustainability and education in Europe. 

We are looking for a Secretary (f/m) to provide organisational and administrative support for our team in Brussels,starting immediately.

Your responsibilities

All the traditional activities of an international secretary, in particular:
  • Supporting the Brussels team in organisational and administrative tasks;
  • Management of an existing framework contract with the European Commission on the preparation of educational studies;
  • Contract management and settlement of travel expenses and fees;
  • Event organisation (preparation/follow-up for meetings, expert symposiums, workshops);
  • Assisting in the preparation of employee transfers from the Foundation’s German head office to Brussels;
  • Coordination of appointments and travel planning;
  • General correspondence and dealing with inquiries.

You should have

  • Completed your training as a European secretary or business management training;
  • Several years of secretarial experience, some of which is directly related to the EU (including experience with European Commission accounting procedures and contract standards);
  • Experience in preparing, organising and implementing events;
  • Excellent communication and organisational skills;
  • Strong team skills;
  • An assured manner when dealing with external partners;
  • Excellent written and spoken English and German, a basic knowledge of French is also desirable;
  • Professional handling of the MS Office suite (Word, Excel, PowerPoint).
