Administrative Assistant, Investigations and Law Enforcement Development

The Need

IJM’s Headquarters Investigations and Law Enforcement Development department supports IJM’s teams in the field as they actively engage in the fight to rescue the oppressed.  IJM is seeking a highly organized, detail-oriented individual who can assist in maintaining seamless business operations during a time of department personnel transitions. This position allows you to use your administrative gifts to maximize the work of the Investigations and Law Enforcement Development team, making an impact on IJM’s operations and personnel overseas.
This position is based at IJM Headquarters in the Washington, DC area and reports to the Vice President of Investigations and Law Enforcement Development.

Responsibilities

Provide Department Support

  • Serve as the department’s SharePoint representative who will manage permissions, ensure that the site structure is organized correctly and operating with optimal efficiency, and acquaint new department personnel with how SharePoint works for the department;
  • Efficiently manage, revise and maintain all of the department’s filing systems including a variety of records, briefing materials, and casework-related files on company intranet; and assist with all aspects of department organization to ensure operational excellence;  
  • Participate in IJM’s business administration team’s monthly meetings and semi-annual retreats and contribute to organization-wide administration projects and process improvement as requested; and
  • Maintain confidentiality of privileged and sensitive information related to investigations and other actions.

Director(s) of Investigations and Law Enforcement Development (DILED) Support

  • Prepare finance forms and timesheets for the Directors of Investigations and Law Enforcement Development (DILEDs) as required;
  • Draft and/or edit correspondence on behalf of the DILED(s) to ensure excellence in all communication from the department;
  • Manage the DILED(s) calendars and determine priorities with the Investigations Executive Assistant through scheduling appointments, coordinating meeting logistics, and preparation to support collaborative departmental communication and priority setting;
  • Track all agreed upon deadlines assigned by internal and external entities to ensure cohesive and thorough response; and
  • Ensure communication of relevant information to all members of the Investigations department to ensure unified coordination regarding department and organization retreats, processes, and special projects.

Travel Support

  • Arrange all travel and logistics for the DILED(s) for both domestic and international trips including securing transportation, accommodations, meals, and other logistics with the Regional Assistants when necessary; and
  • Manage all processes and documentation pertaining to pre-deployment and post-deployment procedures on behalf of all DILED(s).

Required Skills and Experience

  • Bachelor’s degree required;
  • At least one year of experience providing administrative support in a fast-paced, professional environment;
  • High level of proficiency with Microsoft Office, experience with Microsoft SharePoint preferred;
  • Exceptional ability in professional written and oral communications;
  • Superior administrative capacity to multitask and manage detailed projects with minimal oversight; and
  • Demonstrated ability to develop effective working relationships and work as part of a team.
