THE CONSULTANCY

IDLO seeks a Special Assistant for Change Coordination for a full-time consultancy for an initial period of 6 months, renewable. The Special Assistant for Change Coordination is to oversee and manage the flow and exchange of information, streamline interactions with key stakeholders and facilitate initiatives on behalf of the Deputy Director-General (DDG). The incumbent requires the use of considerable judgment and independent action. Work requires a high level of discretion and often entails the use and handling of confidential information. The consultancy is based at IDLO Headquarters. The incumbent will report directly to the Deputy Director-General.

Key Responsibilities include:

• Assist the DDG with the leadership and management of a number of ongoing change processes, including an Organizational Re-design, a Business Process Review (BPR) and a number of other closely related major change exercises, helping to ensure effective leadership of change; 
• In close collaboration with relevant internal stakeholders, assist the DDG to ensure all implementation arrangements are carried out as smoothly as achievable; 
• Enable full communication with IDLO employees about the ongoing change processes; 
• Prepare and update project work plans and charts related to change activities; and 
• Organize and manage some specific project activities, particularly for the (BPR), according to the work plan to produce the envisaged outputs within the set timeframe. 

Specific Tasks

• Assist the DDG with preparation for key stages and meetings of the different change processes, including collaboration with Consultants engaged for the various projects and ensuring the DDG is adequately prepared as needed; 
• Hold and attend meetings, particularly where Consultants play the lead role for individual change processes to ensure organizational continuity on behalf of the DDG; 
• Draft updates, reports, newsletters, postings or emails on the progress of change work; 
• Advise on bottlenecks or discontinuities in the different, sometimes simultaneous change streams of work; propose and help to implement solutions; 
• Maintain a project tracking system based on a Gantt chart to ensure timely delivery of each change project’s deliverables and alert the DDG and others when not on track; 
• Maintain close working relations with a range of relevant actors in the change process, including Consultants, Directors of Departments and Units, and key involved employees and assist to solve problems and ensure deadlines are met; 
• Work closely with the Office of the Director-General to ensure a smoothly functioning front office, steadily improving its systems and processes; and 
• Assist the DDG with communications including drafting important emails and other communications. 

IDEAL CANDIDATE PROFILE

• The ideal candidate shall possess a Bachelor’s degree from a competitive college or university, higher degree(s) desirable. A minimum of 5 to 7 years of professional experience in a relevant, ideally similar, area is required. Experience in an international organization is a strong advantage
• Familiarity with project management approaches, tools and phases of the project lifecycle is required as well as exceptional communication skills – both written and verbal. Excellent interpersonal skills excellent active listening skills to win cooperation is required.
• The successful candidate will have strong analytic and decision making abilities with an interest in performing a critical support role while learning in a fast-paced, entrepreneurial environment. The ability to anticipate DDG’s needs and proactively support these needs is required.
• An above average command of windows computers from a user’s perspective in an office environment, and the ability to learn quickly to use new applications in other operating systems is required.
• He/she must be a team player and able to work with and through others all levels in an organization. Previous change management experience is an advantage.
• Excellent, error-free, written English is required. Fluency in other major international languages is desired.
