Head of Protocol and Events Unit (P-3) - ICC - International Criminal Court | Netherlands

Duties & Responsibilities
Under the supervision of the Head of Public Information and Documentation Section (Registry), the incumbent will be responsible for the preparation and organisation of the visits to the Court, included high level visits, ensuring that all protocol requirements are coordinated with those concerned. He/she will also monitor the calendar of conferences and meetings, ad hoc meetings and special events such as ceremonies at the Court.
The incumbent interacts with various stakeholders such us universities or academic institutions, public administration, general public, inter-governmental and non-governmental organisations, governments or ministries.
He/She also supervises the staff of the Unit in its daily work. More specific duties are:
1) In the organization of high profile visits liaise with visitors and other relevant authorities, including protocol offices of governments and of the Host State, to coordinate visits of individuals and groups to the Court. Liaise and coordinate with relevant offices of the four organs of the Court; assist in the preparation of agenda, prepare and circulate minutes, prepares correspondence, apply maximum international standards of protocol to ensure that visits take place smoothly.
2) Supervise preparation of ICC general briefings for groups and/or individuals.
3) Responsible for all necessary arrangements related to diplomatic briefings, NGO meetings and other major conferences organised by the ICC. Oversee conferences registration, including:- establishing registration procedures, including development of registration forms; receive, evaluate and process requests for participation and provide related information to delegations; supervise registration staff; - Maintaining up-to-date information on composition of delegations: ensure set up of databases for registration; oversee the preparation of the draft and final list of participants of the session.
4) Monitoring of general request for information on ICC Visits inbox and other incoming correspondence. The incumbent also replies requests for general information.
5) Liaise with photographs when needed, including planning and organization of photo sessions of the ICC officials and meetings; decide opportunity of photo session coordinate with services concerned; instruct photographer.
6) Preparing protocol policies, internal reports and providing with monthly performance indicator to the Head of the Section.
7) Supervises the staff of the Unit in its daily work. This includes planning and allocating work; coaching, mentoring and evaluating staff.
8) Preparation of the budget of the Unit.
9) Perform other duties, as required
