ADMINISTRATIVE COORDINATOR (M/F) for Tanzania


For more than 30 years, Médecins du Monde, a campaigning medical organisation committed to international solidarity, has been caring for the most vulnerable populations at home and abroad. It has continued to highlight obstacles that exist in accessing health care and has secured sustainable improvements in health-for-all policies. Those working for this independent organisation do not solely dispense care and treatment but condemn violations of human dignity and rights and fight to improve matters for populations living in precarious situations.
MdM currently works in 44 countries across all continents where it focuses on 4 priority areas: caring for the health of migrants and displaced persons, promoting sexual and reproductive health, combating HIV and reducing the harm and risks associated with drug use, crises and conflicts.
MdM has been working to promote the concept of harm reduction to policy makers and national partners. The drop in center (DIC) serves as a safe space for users and offers screening for infectious diseases, new syringes, basic first aid, and prevention services. The center provides educational sessions once a week for women drug users who are at high risk of HIV transmission. MdM also targets at-risk groups with a mobile unit that provides prevention services, information about the DIC, and sterile needles. This program also provides audiovisual training, which enables those who are stigmatized to rebuild their identity and partake in the community effort of harm reduction. Above all else, the aim of the program is to allow those who have been stigmatized to regain their voice and build self-esteem. Several days have been dedicated to raising awareness in the community and encouraging support from volunteers.
TASKS AND RESPONSIBILITIES:
We are looking for an Administrative Coordinator to manage the financial, accounting, budgetary, human resources, administrative and logistics aspects of the mission in order to guarantee rigorous application of MdM procedures and to fulfil the objectives of the mission.
More specifically: As Administrative Coordinator you are responsible for budgetary planning and monitoring, in collaboration with coordinators and administrator. You also ensure good relations with donors, supervise financial reports’ draw up; ensure that contractual obligations are fulfilled and participate in preparation of audit and external evaluations. As for Human Resources, you ensure an efficient policy complying with national rules and MdM procedures. You also guarantee the respect of administrative and legal framework, and ensure implementation and respect of rules on the program. You manage the administration and logistic team and are in charge of their continuous training and capacity building. You support the coordination team in the elaboration and follows up of any other MdM activity in Tanzania (specific partnerships or occasional operations). You take part in MdM internal and external meetings and may represent the organisation on the administrative issues. While doing all the above, the first part of your mission would be to improve administrative, financial, procurement, logistic and human resources procedures and tools and to implement them with assistance of the Administrator and the Logistician Assistant.
CONDITIONS OF EMPLOYMENT:
Starting: ideally end of April Duration: 12 months
Contract : EMPLOYEE (French contract)
SKILLS AND EXPERIENCE NEEDED:
  • Master in Business Administration or equivalent
  • Strong NGO experience as administrative coordination or equivalent
  • Experience in team management
  • Ease with complex finances and good knowledge of international donors (DFID knowledge appreciated)
  • Legal knowledge is a plus
  • Information System and software proficiency, good command of Excel and SAGA software mandatory
  • Reactivity, anticipation, adaptability, capacity to take initiatives
  • Organisational skills, rigor, ability to synthesise, to classify and to manage priorities
  • Listening and diplomacy skills
  • Capacity to work and to live in tense conditions
  • Experience in working with people using drugs in a harm reduction approach appreciated
  • Strong commitment to the organisation and its values
Languages: Fluent English (oral and written) mandatory Swahili an asset
