Mama Cash vacancy
Mama Cash is looking for an Interim Executive Associate, replacing the Executive Associate during her maternity leave for the period of 27 May– 8 November 2013, for 24 hours per week.
JOB SUMMARY
The Executive Assistant provides overall support to the Executive Director in carrying out the duties for management of Mama Cash, secretarial and logistical support to the Board of Directors, secretarial support to the Management Team and occasional support to the Secretariat. She/he is a member of the Finance & Operations Team and reports to the Director of Finance & Operations and the Executive Director.
ESSENTIAL JOB FUNCTIONS
  • Facilitates access and communication of the Executive Director to the Mama Cash management and staff.
     
  • Screens incoming calls, mail, faxes for the Executive Director, and responds appropriately, and according to priority. Gathers and provides back-up information to the Executive Director to be able to respond to incoming requests.
     
  • Handles travel and phone scheduling for the Executive Director, manages the Executive Director’s meetings schedule and keeps staff apprised of this schedule through electronic calendar.
     
  • Independently drafts and modifies correspondence and other substantive documents based on concise instructions.
  • Communicates with a wide audience of donors, grantees and colleagues.
     
  • Is responsible for planning and organizing Board meetings, including handling of travel and hotel accommodation, preparing agendas, compiling and sending Board materials in advance of meetings and taking minutes and keeping track of action items.
     
  • Is responsible for planning and organizing meetings of the Executive Committee of the Board, including preparing agendas, compiling and sending Executive Committee materials in advance of meetings, taking minutes and keeping track of action items.
     
  • Keeps the Board intranet up to date and is responsible for updating and filing Board related documents on the intranet and within the Mama Cash archival system.
     
  • Serves as a liaison for the Board of Directors with regard to internal and external relationships and keeps the Board apprised of Board and organisational updates. 
     
  • Is responsible for planning,  preparing agendas, taking minutes and keeping track of action items of Management Team meetings.
     
  • Collaborates in planning for projects, events, gatherings and large conferences.
     
  • Takes on special projects as needed to support the Executive Director and Mama Cash as a whole for example support to the organisation of the 30th anniversary event.
     
  • Provides back-up phone coverage. Provides back-up support to the secretariat if and when necessary, for example during illness or vacation.
     
KNOWLEDGE, SKILLS AND ABILITIES
  • Strong communications abilities, both oral and written, in order to communicate effectively.
  • Must have a commitment to women’s rights and the values, goals and work of Mama Cash.
  • An ability to work in an orderly and systematic fashion / accuracy and attention to detail in order to accurately process and deal with a broad variety of types of information and data.
  • Organizational skills for organizing work within the department and/or organizing meetings, gatherings, etc.
  • Integrity, excellent judgment and discretion with confidential or sensitive information.
  • Client-friendly, service-oriented attitude and strong interpersonal skills.
  • Excellent command of both Dutch and English (both spoken and written).
EDUCATION AND EXPERIENCE
  • H.B.O.-level education, supplemented by a secretarial degree or broad experience knowledge of secretarial functions, as well as in relevant professional areas.
  • Knowledge of computer data processing and file management.
Position
Temporary contract, 24 hours a week, from 27 May – 8 November 2013.
Full time salary; CAO Welzijn scale 7 (min.) € 2,219 (max.) € 3,048 ex. 8% vacation allowance (based on experience and performance).
