Description The Sponsorship Manager would be positioned within a busy exhibition operations department who are spread globally, to assist in the management, planning and execution of GSMA Ltd sponsorship components across our event portfolio, incorporating project management, operational planning, logistics and liaison with internal and external departments. This role requires very close working under the Director of Sponsorship / Head of Sales and Sponsorship Manager of relevant event, and also engagement with key stakeholders throughout the process from creation of packages through to delivery including sole liaison with clients to oversee delivery. The Sponsorship Manager role includes ownership and management of sponsorship inventory and sponsorship implementation documents for each event. Main responsibilities include, but are not limited to: Development of Sponsorship Inventory & Packages • Create and have ownership of sponsorship master inventory document including creation of packages alongside Head of Sponsorship Sales. • Arrange sponsorship packages (and their component parts) to ensure Sales, Marketing and Operations utilise the same information to market, sell and deliver to customers. • Facilitate the review and approval of sponsorship packages by coordinating all requirements with stakeholders to define deliverables, costs and final sign-off prior to sale. • Review all collateral prior to being released for sale to the industry. • Standardise packages, development and processes where possible. Sponsorship Implementation Management • Complete sponsorship implementation management through to delivery of events, including all internal communications with relevant departments/stakeholders. • Manage Sponsorship & Partnership Implementation Document (SPID) to detail deliverables of sponsorship packages and all components associated with this process. • Review of customers’ contracts prior to sign off, ensure that sponsorship packages are detailed correctly on contracts and that GSMA delivers according to those specifications. • Content from contracts to be included in SPID document for delivery including additional information of package owners, first/second stage implementer’s/deadline dates. • Coordinate all requirements with internal and external stakeholders. • Where possible to improve execution and delivery to customers and tracking of status across departments. • Reading and proofing of all event documentation to sign off sponsor inclusion and logos. • Manage packages directly with customers to ensure delivery of contractual obligations and implement deliverables. • Lead meetings and conference calls when necessary. Administration • Coordinate and maintain the standard processes and procedures related to all sponsorship components. • Provide support, advice, insight, problem solving, and assistance for these projects. • Role requires exceptional attention to detail. Reporting • Weekly project reporting of key issues /milestones (project, operational and financial) to the Head of Exhibition. • Weekly Team distribution of SPID document & progress reports. • Weekly meetings with the Head of Sponsorship Sales & Exhibition Line Manager. • Individual team members to implement each obligation and update Sponsorship Manager with progress reports. • Prepare presentations when necessary. Quality & Standards To work in-line with the processes and procedures set by GSMA Ltd for all events globally. Maintain the standards of high quality set by GSMA Ltd for all events globally. | ||
Context Department - The Exhibition Operation team works in conjunction with the Event Operations team who together are responsible for the delivery of GSMA Ltd conferences and events. The Exhibition Operations Department is extremely busy constantly working to tight deadlines and embarking on new projects so this role, under the direction of the Exhibition Line Manager and Head of Exhibitions may be expected to provide additional assistance on other projects as required. | ||
Criteria • Solid experience in an Operations and/or Sponsorship role within a commercial environment. • Meticulous attention to detail. • Excellent organizational skills. • Self-motivated with ability to work under minimum supervision. • Prior experience in an administrative or coordinator role desirable. • Be proficient (intermediate level or above) in the use of Microsoft Word, Excel and PowerPoint • Knowledge of Adobe Acrobat an advantage. • Good interpersonal skills, flexibility to take on and assist in team members projects during periods of pressure. • Must be able to work under pressure and to tight deadlines. • Good verbal and written presentation skills and the ability to effectively communicate with all levels of employees, customers, vendors across international boundaries. • Trustworthy, discrete and reliable character. • Supplier management experience. • Project management skills are a requirement, with the ability to plan a number of events/activities simultaneously. • Cultural Awareness within the different markets. • Languages would be desirable but not a requirement. | ||
