Purpose of the Position
Under the direct supervision of the Senior Advisor (IMIS 8326) provides administrative assistance to one or more staff members in the WASH Section.

Key Expected Results
- Perform routine administrative duties to support the Senior Advisor. Set up meetings, appointments, webinars. Assist in the preparation of reports, correspondence, background materials, presentations and working papers. Make travel arrangements, including applications for visas as well as hotel accommodations, reservations, etc. for WASH personnel visiting from the field.
- Support the WASH Section budget focal point for preparation and operation of section budget, in consultation with the Chief. This would include review of monthly closure reports to verify, correct, and inform DFAM of actions to be taken; support in the monitoring of the programme budgets, expenditure available to the Cluster; Prepare period draft reports on budget expenditures and allocations for review by supervisors.
- As part of the WASH knowledge management sub-unit, provide timely support and response to: routine queries/ requests for WASH materials from Field Offices/other partners and dispatch appropriate WASH materials requested. Operationalize and maintain an effective publication distribution system and WASH contact database. Support the maintenance of the PD/WASH webpage and corresponding links.
- During the frequent duty travel by the Senior Advisor, ensure timely distribution and follow-up of incoming correspondence including prioritizing of responses to routine queries and non-technical correspondence by developing generic responses; regularly updating staff on travel missions on urgent issues and routine administrative matters.
- Develop and maintain key Section databases to facilitate programme management by Senior Advisor. Databases will include the Consultants roster, School Sanitation and Hygiene Education project database, the cholera outbreak database, WASH Case study database, arsenic testing database, new WASH product database and others.
- As computer focal point ensure proper functioning and maintenance of equipment and software/updates, access to computers for WASH interns, consultants and visitors if required. Liaise with help-desk and ITD on troubleshooting for computer related problems, IT information updates and ongoing training. Maintain computer hardware and software inventory in the section.
- Performs other duties as required.
Qualifications of Successful Candidate
- Completion of Secondary Education (i.e. High School Diploma) is a minimum requirement.
- Minimum four years of relevant work experience
- Knowledge of the UN system desirable
- Intermediate knowledge in the Microsoft Suite of Products (including MS Word, MS Excel & MS PowerPoint) is required. Basic knowledge of SAP is highly desirable.
- Knowledge of UNICEF's rules, regulations and procedures is an asset.
- Must pass the UN ASAT (Administrative Support Assessment Test) in English (please mention in your cover letter whether you passed this exam)
- Good organizational skills and drafting ability.
- Fluency in English both written and spoken.
