About the Center for World Religions, Diplomacy and Conflict Resolution
The Center for World Religions, Diplomacy and Conflict Resolution (CRDC) is the flagship center for conflict resolution practice, housed at the School for Conflict Analysis and Resolution (S-CAR) at George Mason University. CRDC engages emerging indigenous and global peacemakers, mobilizes support, and creates linkages between citizen diplomats, students, business people, and policy makers. CRDC operates conflict resolution and educational projects in Israel, the Palestinian Territories, and the United States, and has also led interventions in conflicts in Syria, Afghanistan, the Caucasus, Turkey, Bosnia, Northern Ireland, Iran, Canada and Indonesia.
POSITION SUMMARY
The Executive Assistant plays a very important role providing support to our Visionary Founder, Dr. Marc Gopin in all administrative, project and educational needs. The ideal candidate will be experienced in handling a wide range of administrative, executive support-related tasks and must be exceedingly well organized, flexible and enjoy administrative challenges. The ability to interact in a high-energy environment, remaining proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Sound judgment, an expert level of written and verbal communication skills, strong decision making ability and attention to detail are equally important. Proven experience managing complicated calendaring and travel coordination (frequent national and occasional international) for a busy, high profile executive is preferred. Project Management experience a plus.
DUTIES AND RESPONSIBILITIES
The ideal candidate for Executive Assistant and Classes manager will have the capacity to:
  • Run and manage the very intense schedules of a highly sought after executive
  • Assistant manage all projects under the executive's responsibility
  • Aggressively manage the calendars related to all these activities
  • Manage all emails and correspondence prioritization.
  • Manage innovative ideas, track them and move them forward as the executive innovates
  • Work with the manager to prioritize short-term mid-term and long-term responses as they emerge
  • Coordinate daily activities with the overall mission of CRDC and the executive
  • Be aggressive in pursuit of goals and deadlines
  • Have a flexible schedule and hours and be willing to be on call via smartphone 24/7
  • Communicate effectively with other CRDC team members to ensure a coordinated team
  • Pay great attention to fine details
  • Takes pride in a clean organized office

  • Project Management experience a plus
Calendar Management
  • Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings
  • Schedules and confirms all appointments, meetings and calls with attendees
  • Manages changes, alterations and unanticipated priorities that impact the schedule
  • Takes ownership of calendar and is able to identify priorities and make critical decisions regarding scheduling as priorities shift
  • Maintains a comprehensive view of the calendar, in order to suggest appropriate times for travel and make critical choices about scheduling priorities and needs
  • Reviews calendar 1-2 weeks in advance to determine what meetings/appointments need preparation
  • Provides contact information, directions, locations of meetings in the calendared appointment
Executive Support for Director
  • Precisely manages incoming and outgoing calls, messages, emails, social media, and other correspondence from the Director
  • Provides professional staffing support including: filing, meeting preparation, briefings etc.
  • Ensures staff members and clients have appropriate access and are able to get what they need, even when the Director is traveling
  • Prioritizes and manages multiple projects simultaneously
  • Communicate and coordinate effectively with team members at CRDC, SCAR and MEJDI Tours (CRDC's sister B-Corp) to ensure maximum effectiveness
  • On occasion, assist other senior members of the Executive Team as specified by the Director
Travel Management for Director
  • Arranges complex travel schedule and makes reservations
  • Books flight, hotel, train tickets, rental cars, etc. and confirms/checks-in with Director on all travel arrangements
  • Creates a travel itinerary and ensures Director has all applicable documentation for travel, hotel, etc.
  • Enters all information regarding travel and appointments during trips into the calendar, including locations of meetings and travel details between meetings
  • Proactively ascertains what documents, materials and prep will be needed for each trip and meeting and ensures that the Director has what he needs
New Development Support
  • Supports new development efforts including systematic tracking and follow-up of all development leads utilizing all related software i.e. Customer Relationship Management System, Google contacts, Constant Contact and Cards scanning technology.
  • Assists Director in drafting and preparation of presentations and outreach materials
Academic Administrative Support
  • Organize student emails and assignments in an easily digestible format for grading purposes
  • Coordinate University and School commitments schedule i.e. classes, committee meetings, etc.
  • Collect and organize data for readings, syllabus etc.
  • Be gatekeeper with students
Website, Blog, Facebook and Newsletter Support
  • Manage timely postings on FB
  • Take raw text, audio and/or video and upload and distribute effectively
  • Build and send out newsletter mailings
Events Management
  • Organize all aspects of events
Hours and Pay:
Commensurate with experience
90-Day Probationary Period
