About the organization
The World Agroforestry Centre is an independent research institution which generates science-based knowledge about the complex role trees play in agricultural landscapes and rural livelihoods. As part of the Centre’s work to bring tree-based solutions to bear on poverty and environmental problems, researchers – working in close collaboration with partners – are developing new technologies, tools and policy recommendations for increased food security and ecosystem health.
The Centre’s headquarters are located in Nairobi, Kenya, and research is conducted in 23 countries in Africa, Asia and Latin America. We are supported by the Consultative Group on International Agricultural Research (CGIAR) and receive funding from over 50 different donors.
About the Position
Reporting to the Country Representative, the Administrative/Finance Assistant will be responsible for the execution of day to day administrative and financial duties to the ICRAF Tanzania Office. This position is for Tanzania nationals only.
The job will specifically include the following duties and responsibilities:
- Coordinate administration issues in collaboration with relevant units at ICRAF.
- Advise and ensure local contracts are in compliance with Tanzanian laws.
- Provide advice and support for visiting scientists and students to acquire necessary work permits in compliance with existing Tanzanian laws.
- Handle procurement and inventory of assets.
- Supervise management of office premises.
- Organise meetings, workshops and conferences (travel coordination, airfare, budgets, logistics etc).
- Follow up to ensure timely submission of reports (both financial and technical).
- Produce monthly financial reports with accompanying data for EA Regional Office
- Maintain petty cash and bank account; perform monthly reconciliations and prepare monthly expenditure forecasts.
- Oversee national staff salary and benefits payments, manage imprest and submit monthly statutory deductions to the relevant authorities.
- Ensure financial ethics and accountability of all ICRAF staff and assist in the preparations of a country budget.
- Check and verify all financial transactions, review payments request, purchase orders, and contracts for accuracy and integrity before approval by the supervisor.
- Any other related duties as assigned by the supervisor.
Qualifications and experience
- Bachelor of Business Administration in Accounting/Finance Degree or a relevant degree.
- At least CPA 2 or relevant Financial/ Accounting management qualification with a good understanding of budgeting and financial management practices.
- Proficiency in database applications and MS office suite.
- At least 3 years professional experience in the field of administration with Accounting or Finance in an NGO setting.
- Excellent analytical, organizational and planning skills.
- Good English and Kiswahili communication skills, both written andspoken.
- Exceptional attention to detail.
- Team player and highly motivated.
